Concurrent Specimens

Across 8 labs

The Challenge

GeneLab operates 8 research labs across different locations, each running parallel studies on biological specimens. They needed to track specimen lifecycle, chain of custody, research progress, and generate regulatory documentation—all without a centralized system.

Our Solution

We built a custom Salesforce application with specimen management objects, automated chain-of-custody tracking, and built-in regulatory audit logging. QR codes on specimens sync with Salesforce, creating an immutable audit trail of every sample's location and handling.

The Results

Specimen tracking accuracy improved to 100% (previously they'd lose track of samples and have to restart studies). Research cycles accelerated 40% because labs could see real-time progress and identify bottlenecks. Regulatory audits now take 1 day instead of 2 weeks of manual documentation gathering.

""We were losing specimens and re-doing research. Now we have complete visibility. That alone reduced our research cycles by 40%. And audits are trivial—we just pull the report.""

Your Questions Answered

How does QR code scanning integrate with Salesforce?

Mobile scanners connect to a Salesforce mobile app we built. When a researcher scans a specimen QR code, it updates the specimen's location and handler in real-time, creating an immutable audit log automatically.

The system requires confirmation—you scan the specimen, confirm it's the right one, then scan your own ID badge. This redundancy prevents mis-handling. Any correction is logged as a separate audit entry with timestamp.

Compliance rules are built into the data model. When a specimen is created, the system automatically generates the required documentation templates and attaches them to that specimen record. No manual tracking needed

Over 40 concurrent studies with 15,000+ specimens. The system handles the scale without performance issues because we optimized for batch operations and indexing.
